Strong Roster Marketing Book a 10-minute chat

Members don't quit all at once.

They miss a week, then a month, then they cancel. I set up the emails that invite past members back, welcome new members, ask regulars for reviews and referrals, check in when someone stops showing up, follow up on trials and old leads, and more. For independent gyms, CrossFit boxes, and martial arts schools across the DFW metroplex.

A gym attendance board for September. Jess checked in the first week, then stopped coming, and nobody has followed up.

Most of it comes down to follow-up

Someone who tries a class and never hears back doesn't sign up. A new member who doesn't build the habit in the first few months drifts off. A regular who skips two weeks doesn't make any noise. And once someone cancels, nobody invites them back.

You're coaching and the front desk is busy, so none of that is anyone's fault. It just needs a system that sends the right note at the right time, in your voice, without you having to remember to send it.

What cancellations cost your gym

Change the example numbers to yours. Nothing gets sent anywhere; the math happens right on this page.

How it works

  1. A 10-minute chat

You tell me where members slip away. I ask what software you use and what you'd offer someone to come back.

  2. A free 30-day pilot

I build a win-back sequence for your past members for free and run it in your gym's name.

  3. A results review

At day 30 we go over the replies and rejoins together. Then you decide whether to keep going.

Two levels

Growth includes everything in Retention, plus more.

Retention

Includes:

  • A win-back sequence that invites past members back
  • A welcome series for each new member's first 90 days
  • Check-ins when a member stops showing up (this needs attendance data from your gym software)
  • Review and referral requests
  • Reminders for booked sessions
  • A monthly report on what happened

Growth

Adds:

  • Follow-up for trial members and new leads
  • Inviting old leads who never joined
  • Reminders and no-show follow-up for trials and intros
  • Seasonal campaigns
  • A monthly email with gym news, events, and member spotlights

Pricing is based on your member count, and you decide after your free pilot, once we both know what works for your gym. It's month-to-month, with 30 days' notice to cancel.

Try one sequence free for 30 days

I'm new at this, and I'd rather prove it than promise it. So I'll build your first sequence for free and run it for 30 days.

You get
A win-back sequence to your past members, built and running in your gym's name. It's the quickest thing to test in 30 days, since you already have a list of people who left.
I ask
If it works, a short testimonial and permission to share the results.
The catch
I only set up two gyms at a time, so each one gets done properly.

A sample sequence: winning back past members

Here's what someone who left Northside Strength, a made-up gym, a few months ago would get. Your version uses your name, your voice, and your offer. Every sequence I set up works the same way: a few short, personal messages spaced days apart.

  1. Day 0 first email

  2. Day 4

  3. Day 10

They're plain on purpose. An email that looks like your coach typed it tends to get more replies than a designed newsletter. Every email includes your gym's address and an unsubscribe link.

Sean, founder of Strong Roster Marketing

Hi, I'm Sean

I live in the Rockwall and Fate area, and Strong Roster is a new business. You'd be one of my first gyms, and I'll tell you straight what's working and what isn't.

I started lifting three months ago, so I know what it's like to be the new person who could quietly stop showing up, and what kept me coming back.

I'm local, and everything happens by phone and email, so it fits around your classes.

FAQ

Do I need new software?

No. Everything runs on my email platform, connected to the software you already use, usually through Zapier. You keep using your software exactly as you do now.

What do you need from me?

A list of past members, a connection to your gym software that you set up yourself, access to add a few email settings to your website's domain, the offer you'd give someone to come back, and about an hour to approve the messages. After that, it runs on its own.

Whose name is on the emails?

Yours. Members see your gym's name, your address, and a coach they know. They never hear from Strong Roster.

Will this annoy my members?

Each sequence is a few short messages spaced days apart, sent only to the members it's meant for. Every email has an unsubscribe link. Anyone who replies or rejoins stops getting that sequence automatically.

Do you send texts?

Not right now. Everything is email for now. If I add texting later, it will only go to members who've agreed to get texts from your gym.

What does the pilot cost?

Nothing. If it works, I'll ask for a short testimonial and permission to share the results.

What happens after 30 days?

You and I go over the results on a call. If you want to keep going, it's month-to-month with 30 days' notice. If not, the pilot simply stops, and no hard feelings.

What if I cancel later?

The emails stop when your service ends. You keep your full member list and a copy of every message I wrote.

How much experience do you have?

Honestly, not much yet. You'd be one of my first clients, which is why the pilot is free and why I only set up two gyms at a time.

Do you work with franchises?

No. I only work with independent gyms, CrossFit boxes, and martial arts schools.
